Groups


With groups, you can display one or more events simultaneously or put them on sale and set pre-sale groups.

Note: Ensure your Seasons are set up correctly before creating a group.

The Groups Module

The Groups module can be found in Event Metadata > Groups. Within the Groups Module, you can set up the following:

  • Start Visibility: All events in the group will be visible on the site. Provided the events have the status “visible”.
  • Start Sales: All events in the group can be booked. Provided the events are “bookable”.
  • Pre-sale Yes/No: You can use the pre-sale switch on the Groups Overview, when group events are on sale for a specific group of customers only, as defined by a Visitor Tag. For example, these can be the theatre “friends” automatically recognized by a tag in the ticketing system.
    • You can set up dates per visitor tag in the Visitor Tags Module. All events in groups with the pre-sale switched to ‘Yes’ will be visible to and bookable by people with a visitor tag connected to their web account, starting from the date defined in the Visitor Tags Module.

Take note! You must select a Group in the Events Module when creating an event. The Group defines when Events become Visible, which is shown under the Group selection by each event:

During event import, new events are automatically placed in the Group that has been assigned as the default Group of a Season (read more about Seasons here). Seasons have a start and end date. If the event date is within the Season date range, the event will be automatically added to the default Group connected to that season.

For example, Season 2021/2022 usually have the default Group 2021/2022.


How to create a new Group

To create a new group, go to Dashboard > Event Metadata > Groups and click “Add” within your Groups Module:

  • The Code is usually a name, for example, “Winter 2023”.
  • The Description can be the same as the code.
  • Start visibility: From this date on, events within the group will become visible to everyone (regardless of Visitor Tags). Before this date, the events will not be visible on the website, even when the events have the status “visible”, like the regular status “normal” usually used for sales. You can already select the correct status in the Events Module. The events will become visible only from the date defined in the Groups Module.
  • Start sale: Events will be on available to everyone to book tickets, regardless of Visitor Tags, on the website from this date.
  • Now you can Save the settings.

Pre-Sale Function

In the Groups overview screen, you can turn on and off the pre-sale function.

When the pre-sale is turned on, the system will check the Visitor Tags Module for particular/earlier access (start sale or start visibility set up earlier for a specific group).

You must use Visitor Tags to schedule a pre-sale for a specific group of people. For example, this can be the theatre “friends” recognized by a Visitor Tag in your ticketing system. This Visitor Tag is then be imported to Peppered.

To organize your pre-sale, go to the Visitor Tags Module. This is where you can set the specific dates for the pre-sale.

Setting up Additional Groups

It is possible to create additional groups for special occasions. Consider a group of popular shows with combined sales to date, for instance. You can make as many groups as necessary, according to your sale/pre-sale agenda!

“Sale Starts on" Information

The advantage of arranging the online moment with a group is that the text “sale starts on ” will automatically displayed at the location of the order button of each event in the group in question. This way, your audience knows exactly when they will be allowed to book their tickets.

Single Performance on sale

If you want to put a single event on sale on a specific date, the best way to mange this is by changing the status to ‘bookable’ on the day it has to be on sale. This can be done directly in the Events Module. In our experience, the Groups Module is more valuable when a pre-sale concerns several events.
