Before sending any marketing mailings you must have consent under GDPR legislation. Consent must be given freely and there must be an easy way for users to opt-out of receiving mailings.
It is also important to keep note of the date of the given opt-in (or opt-out), it has to be apparent where the opt-in was given, by whom, and the specific text at the time of the opt-in. Every opt-in has a history that can be viewed in the Dashboard.
To comply with this, we have created the Opt-ins module, which you can find by navigating to
Dashboard > Marketing > Opt-Ins.
How do opt-ins work?
Your website on the Peppered platform can have two distinct flows in which a visitor can opt in (or out) to the mailings you want them to subscribe to:
During login/ create account flow.
While creating an account or logging in, opt-in options can be shown to the visitor. This is a very effective point of contact, because most visitors will eventually buy tickets, and therefore need to create an account.
The opt-in page during login is smart. It will be visible when a visitor creates an account, and will be hidden for a while when the visitor skips the step or opts into one of your subscribe options. When a visitor hasn’t opted in to all your options, the form will occasionally be shown again to the visitor every few weeks or months during login.
As a stand alone newsletter subscription area
If your website doesn’t have a Peppered account area, or you want to be able to offer subscriptions without having to create an account, a stand alone subscribe path is also availabe. When a subscriber decides to create an account later, the subscription is automatically preserved and stored in the new account.
Which opt-ins are used by a venue depends on activated Peppered platform features. There are 4 default opt-ins available in the CMS, which you can activate (or not). More can be added if you need them.
Opt-in Settings
- Name = Dashboard name of Opt-in
- Keyname* = Only editable by Peppered (do not change)
- Status = Indicates if Opt-in is Active (in use) or not. If set to Inactive, opt-in will not be shown publicly anywhere. Can still be used in Query Builder.
- Type = There are 3 available types
- Peppered: Solely managed within Peppered
- External: Peppered imports data, external CRM system is leading*
- Hybrid opt-ins are used to sync opt-in settings per visitor to Ticketing systems
- External opt-ins are used to sync opt-in settings per visitor to external systems (currently we support Smart Connections and Sports Alliance)
Hybrid: Opt-in is synced both ways between Peppered and Ticketing system (currently we only support Tixly opt-in sync)*
To activate a sync with a third party, our Professional Services team will be able to help. Reach out to us via the service portal.
- Title = Visible to Visitors in Subscription Management and during login flow
- Description = Optional description of what the opt-in relates to e.g. Receive our monthly newsletter. Visible to Visitors in Subscription Management and during login flow.
- Opt-in provider = Only used if importing/syncing from CRM/Ticketing system*
- Opt-in code = Only used if importing/syncing from CRM/Ticketing system*
- Settings:
- Pre-selected for new users = If selected will automatically check the checkbox visually in the opt-in form. This does not automatically opt the Visitor in. actually storing the opt-in . Only when the visitor submits the form, the opt-in will be stored. A visitor can uncheck the opt-in in the form.
- Visible in subscription management = opt-in can be seen/updated by visitor in subscription management area
- Visible during login flow = opt-in can be selected/updated during login flow
1. Newsletter Opt-In
This is used for regular newsletters and manual mailings.
The Newsletter opt-in is the only opt-in option that can come with a subset of extra preferences. These preferences are a collection of public mailing lists a visitor can sign up to. While you can use preferences/mailing lists while building your mail queries, they are optional and do not count as an opt-in themselves.
Recommended settings:
- Pre-selected for new users = No (user has to positively opt-in to mailings)
- Visible in subscription management = Yes
- Visible during login flow = Yes (NOTE: only applicable if your website has Peppered account feature)
2. Behavioural Based Mailings Opt-In
This opt-in focuses on your visitor’s website behaviour, using data like your wishlist content and abandoned shopping cart or pageviews to send personal mailings.
Recommended settings:
- Pre-selected for new users = No (user has to positively opt-in to mailings)
- Visible in subscription management = Yes
- Visible during login flow = Yes (NOTE: only applicable if your website has Peppered account feature)
3. Service Mailings Opt-In
Service mailings include pre and post show mailings.
This opt-in will be automatically given to all visitors who create a new website account or have bought tickets at the box office as these mailings are part of the purchase agreement. There will be an opt-out link option within the service mailings and under the Communication preferences (in your web account) if users wish to opt-out of service mailings.
The Pre-selected for new users setting lets you have the opt-in already checked visually in the form when you chose to show this option. As long as the service mailing opt-in is Active in your Dashboard, all new accounts will automatically get the opt-in. It will only be used after the visitor makes a purchase and you have our automated service mailings feature active.
Recommended Settings:
- Pre-selected for new users = Yes (part of service)
- Visible in subscription management = No
- Visible during login flow = No
How to view Opt-Ins Per Visitor
Opt-ins can also be found in each Visitor account via Marketing > Visitors. Here, you can manage the opt-ins for a specific user and see a detailed history of the opt-in activity of the particular user.
How to add a New Opt-In
You may want to have additional Opt-ins for Visitors to be able to opt-in or out of specific mailings. For example, a monthly newsletter. Separate to the Global Newsletter opt-in.
To add a new Opt-in go to Marketing > Opt-ins > Select Add
This opens the Opt-ins - New Entry screen
New Opt-in Settings
- Name = Enter the name of your opt-in.
- Keyname* = (Only editable by Peppered) leave empty
- Status = When set to Active it will appear in to Visitors in the login flow and Subscription Management window
- Type = Select appropriate type (See above)
- Title* = What Visitors will see
- Description = Optional description of what the opt-in relates to e.g. Receive our monthly newsletter.
- Opt-in Provider = Only used if importing/syncing from CRM/Ticketing system
- Opt-in code = Only used if importing/syncing from CRM/Ticketing system

Dealing with Opt-outs
In line with GDPR Legislation, individuals must be able to opt out of mailings at any time they choose, on their own initiative.
It must also be as easy to withdraw consent as it was to give it. This means the process of withdrawing consent should be an easily accessible one-step process. If possible, individuals should be able to withdraw their consent using the same method as when they gave it.
Each Peppered mailing comes standard with an unsubscribe and ‘My preferences’ link in the footer. This brings you to a personal page where all available opt-in options are shown.
